Voice AI Receptionist  Storm Surge Recovery
How a 24/7 Voice AI dispatch system handled 340 inbound calls in 48 hours during severe storm season without missing a single emergency lead.
The Situation
Harbor Roofing & Restoration operates in high-wind and hail coastal zones where severe weather events are a regular part of the business cycle. During active storm periods, call volume spikes by several hundred percent within a matter of hours  often at night, on weekends, and during holidays when office staff are unavailable.
The business itself is sound. Field crews, estimators, and the CRM infrastructure were all in place. The problem was at the front end: the phone system couldn't absorb the volume when it mattered most.
What Wasn't Working
Volume the office couldn't absorb
Severe hail storms generated 50–100 simultaneous calls. The front-desk team could handle a fraction of that  the rest went to voicemail.
After-hours calls meant lost contracts
Overnight roof damage calls went unanswered. Homeowners with active leaks hired the first contractor who picked up  and that wasn't Harbor Roofing.
No triage before dispatch
Field inspectors were dispatched without property details, damage type, or insurance status  creating coordination problems in the field.
What We Changed
Solvevare built a Voice AI receptionist integrated directly with Harbor Roofing's GoHighLevel CRM and field estimator calendars. The system was designed specifically for the storm-response use case: high call volume, unpredictable timing, and a need for structured lead data before any dispatch occurs.
The AI handles inbound calls independently  answering within seconds, collecting damage details, checking insurance status, and booking the inspection slot  without routing to a human unless escalation is explicitly needed.
How the System Works
Every inbound call follows the same structured path:
Call pickup  under 2 seconds
The Voice AI answers on the first ring regardless of volume. There are no busy signals, no hold queues, and no voicemail during storm windows.
Structured damage intake
The AI asks a set of structured questions  damage type (active leak, missing shingles, structural), property address, insurance carrier, and preferred inspection window. All responses are logged to the CRM in real time.
Live calendar booking
The AI checks live estimator availability and books the inspection slot conversationally during the call. The customer confirms the appointment before hanging up.
SMS confirmation + crew notification
The customer receives an immediate SMS with the inspector's name and appointment time. The CRM automatically flags the lead and notifies the relevant field crew.
Before → After
- 80%+ of storm emergency calls sent to voicemail
- No after-hours call coverage at all
- Human staff overwhelmed during weather events
- Dispatches made without property or insurance details
- Leads lost to competitors who answered first
- All calls answered  any hour, any volume
- Structured damage and insurance data collected on every call
- Inspection appointments booked during the call itself
- CRM updated in real time with no manual entry
- Field crews dispatched with complete lead context
Implementation Details
The Voice AI was built on a low-latency speech model tuned specifically for the construction and roofing context  handling roofing terminology, insurance jargon, and address capture accurately. Response latency was kept under 400ms to avoid the unnatural pauses that make AI calls feel robotic.
The system connects directly to Harbor Roofing's GoHighLevel account via native integration. Every call generates a new lead record with damage classification, address, insurance carrier, and the booked appointment time  all without any manual data entry.
A configurable escalation path was built in: if a caller reports active structural damage or a life-safety concern, the system can route to an emergency on-call line rather than booking a standard inspection.
What Changed Operationally
During the first major storm event after deployment, the system handled 340 inbound calls over 48 hours without a single missed lead. The office staff were available to focus on in-progress jobs and customer follow-ups rather than fielding emergency calls.
Every call that came in produced a structured CRM record. Field teams arrived at inspections with damage type, property address, and insurance carrier already on file  reducing the back-and-forth that normally happens between the office and the field.
The Broader Point
In emergency contracting, the window to capture a lead is measured in minutes, not hours. A homeowner with an active roof leak is going to call three or four contractors and hire the first one who answers and sounds competent. A voicemail doesn't compete.
This system solved a capacity problem  not a technology problem. The routing logic, the CRM integration, and the triage questions were all built around how Harbor Roofing's actual business operates. The Voice AI doesn't replace the field crews or the estimators. It removes the gap between "call comes in" and "lead is captured and booked."
