The Situation
Summit Dental Group operates 3 multi-chair dental practices. The clinical side of the business runs well  skilled dentists, good patient retention, and strong case acceptance when patients are actually in the chair. The problem was getting patients back in the chair in the first place.
Front-desk staff were spending over 18 hours each week manually tracking and calling patients overdue for hygiene appointments. Most of those calls went unanswered. Of the ones that connected, only a fraction resulted in a booked appointment that day  the rest required additional follow-up calls.
At the same time, high-value treatment quotes  Invisalign consultations, implant evaluations  were being emailed to patients after their visit and then forgotten. There was no systematic follow-up process to move those quotes toward acceptance.
Three Separate Revenue Leaks

Manual phone calls and single SMS reminders were producing a 24% cancellation and no-show rate on hygiene appointments  empty chair time with no revenue recovery path.
Overdue recall backlog

What We Built
Solvevare built a centralized Patient Lifecycle Engine on GoHighLevel  connected to Summit Dental's practice management system via custom webhooks. The system handles three distinct workflows: new patient acquisition, hygiene recall, and treatment follow-up.
Each workflow runs independently with its own trigger logic, messaging cadence, and pipeline stage. No manual intervention is required unless a patient escalates to a conversation that needs a human  and those escalations route directly to the front desk via GoHighLevel's notification system.
How the System Works
The Patient Lifecycle Engine runs four concurrent automation streams:
Inbound lead and overdue recall intake
Custom webhooks capture ad leads instantly and auto-tag patients who reach the 5-month post-hygiene milestone. Both types enter separate pipelines with appropriate messaging tracks.
Automated conversational scheduling
Two-way SMS and Voice AI confirm intent, present open calendar slots, and sync directly with the practice management software. Patients can book without speaking to anyone at the front desk.
Pre-visit reminders and intake prep
A tiered reminder sequence sends at 7 days, 48 hours, and 2 hours before the appointment  with digital intake forms attached to reduce in-office paperwork time.
Treatment plan nurture
Unaccepted high-value treatment quotes trigger a separate educational drip sequence  content about the procedure, financing options, and a simple reply-to-book CTA. The sequence runs until the patient books or explicitly opts out.

Implementation Details
The integration between GoHighLevel and Summit Dental's practice management software was built using custom webhooks that fire on patient record changes  specifically on appointment completion and hygiene date fields. This eliminated the need for staff to manually trigger any workflow.
The recall messaging was written specifically for a dental context: conversational, brief, and easy to respond to with a single reply. The two-way SMS flow handles common responses  "call me instead," "I need a different day," "I already booked"  and routes edge cases to the front desk with the full conversation attached.
The treatment nurture sequence was built with a content-first approach: the first two messages are informational (procedure overview, financing options), not asks. The booking CTA only appears in the third message. This structure produces better engagement than leading with a direct sales message.
What Changed Operationally
The front-desk team no longer spends any part of their week on outbound recall calls. That time shifted to in-office patient management  a qualitatively different and higher-value use of their hours.
The 94% appointment confirmation rate reflects a combination of the pre-visit reminder sequence and the 2-way SMS scheduling  patients who book through the automated flow confirm more reliably because the booking process itself is clearer and more immediate than a phone call made days earlier.
The $140k/year figure represents recovered chair time from filled appointment slots that would previously have gone empty due to no-shows or unworked recall lists. This is based on Summit Dental's own reported chair-time value  it has not been independently verified by Solvevare.
The Broader Point
Dental practices have a built-in recall cycle  every patient is due back in 6 months. That predictability makes it one of the cleaner automation problems in healthcare: you know who needs to be reached, when, and why. The challenge is execution at scale across a patient list that runs into the thousands.
